HSSE HTIT
Privacy Policy
1. Who we are
HSSE HTIT is an internal app of TIL Haiphong International Port ("the Port", "we") that employees use to report safety observations (Gemba) and incidents in the field. It is only for employees and people who have been issued an account by the Port; there is no public sign-up. The Port is responsible for the data processed through the app.
2. Data we collect
- Account information: username, full name, department and role. Accounts come from the Port's internal staff system (EmployeeAssessment) or are created by an HSSE administrator. The app does not store your password in readable form.
- Report content you enter: description, area, time, severity and corrective actions. Incident reports may also include details of the people involved and witnesses (name, department, contact, statement) and injury information.
- Photos and videos: only those you take or pick from your photo library to attach to a report. The app asks for camera, microphone (video recording) and photo library access for this purpose.
- Location: precise GPS coordinates when you create a report, to record where in the port it happened. Location is only used while the app is in use; we do not track your location in the background.
- Technical data: IP address and time of sign-in (to block password guessing), a log of record changes, and server error logs.
- On your device: a sign-in session cookie, your language and display settings, and reports waiting to be sent while offline (kept on the device until they are synced). If you turn on browser push notifications, the browser's notification subscription is stored on our server.
3. How we use it
- To record, classify, investigate and follow up safety observations and incidents, and track corrective actions.
- For internal HSSE statistics and reports, and reports required by law (for example occupational accidents).
- To sign you in, keep the system secure and fix technical problems.
We do not use this data for advertising, we do not sell it, and we do not track you across other apps or websites.
4. AI-assisted classification
When you tap the photo analysis button, the field photos (resized) are sent to Anthropic's AI service (Claude) to suggest a hazard type and severity. Only the photos are sent — not your username or GPS coordinates. Anthropic processes this data under its commercial terms and does not use it to train its models. The result is only a suggestion; you review it before submitting the report.
5. Sharing
- Within the Port: people with the relevant role (the HSSE team, managers, people assigned to handle a report) can see reports.
- Service providers: Anthropic for AI classification as described above. Base maps in the administration area are loaded from OpenStreetMap, Esri and CARTO; those servers only receive map tile requests (including your IP address), not report content.
- Authorities: when required by law.
We do not sell or rent your data.
6. Storage and security
- Data is stored on servers managed by the Port. Photos sent for AI analysis may be processed outside Vietnam.
- Connections are encrypted with HTTPS; access is role-based; sign-in is temporarily locked after repeated wrong passwords.
- HSSE reports are Port safety records and are kept according to the Port's record-keeping rules and the law. Server logs are kept for about 90 days. Offline reports are removed from your device once they are synced.
7. Your choices and rights
- You can ask to see or correct your personal data, ask how it is processed, or ask for your account to be disabled or deleted by contacting the HSSE team. Accounts are disabled when an employee leaves the Port. Some reports must be kept to meet legal obligations even after an account is deleted.
- You can turn off camera, photo and location access at any time in iOS Settings; the app still works, but you cannot attach photos or location.
8. Children
The app is for Port staff and is not intended for children.
9. Changes
We will post any changes to this policy on this page and update the date above.
